About this Notice
This notice explains how Agentiz handles the professional details of real-estate agents, brokers, developers and agencies that appear in our catalogue of professionals before they have created an Agentiz account. It supplements our Privacy and User Data Usage Policy. If you have an Agentiz account, the Privacy Policy applies to your account data.
Who This Applies To
Real-estate professionals and agencies whose publicly available details are listed in the Agentiz catalogue of professionals without an account. The catalogue lets property owners and buyers find a professional in their area; every listed professional can see, correct, claim or remove their own entry.
What We Collect
Only professional details that are already publicly available:
- your name and the company or agency you work for;
- your professional title or specialisation;
- your city or region and, where published, your business address;
- a business e-mail address and a business phone number;
- a link to your public professional page;
- your professional photo or company logo, where you have published one.
We do not collect private contact details, data from private social-media profiles, or any special categories of data.
Where the Data Comes From
From publicly accessible professional sources: agent and team pages on real-estate agency and franchise network websites, broker directories of real-estate portals, public professional registers and the member lists of professional associations (Article 14(2)(f) GDPR). Each entry records the source it was taken from; we will tell you the source on request.
Why and on What Legal Basis
We process this data on the basis of our legitimate interest (Article 6(1)(f) GDPR) in operating a complete, country-wide directory of real-estate professionals, and in letting each professional control their own entry. Specifically, we:
- publish a minimal profile in the catalogue: name, company, city and specialisation. The contact details of an unclaimed profile are not published: the e-mail address is shown masked and the phone number is not shown; both are used only to contact you and to route enquiries to you;
- send you a single notice that your details are listed, with links to claim, correct or remove the entry;
- in countries whose law allows business-to-business messages on an opt-out basis, may send up to two invitations to take over your profile, each with a one-click opt-out;
- in countries that require prior consent for such messages, send invitations only if you have given your consent on our website, for example when claiming your entry (Article 6(1)(a) GDPR and national e-privacy law). Otherwise you receive no further e-mails from us.
We do not make automated decisions about you and do not build profiles beyond the professional details described above.
How Long We Keep It
An unclaimed entry is kept while the source still lists you as an active professional, and for no longer than 24 months after the last time we saw it there; it is then removed or reduced to non-identifying statistics. If you ask us to remove your entry, we do so immediately and keep only what is needed to make sure we do not list or contact you again: your e-mail address in a do-not-contact list. If you claim the profile, it becomes part of your account and the retention rules of the Privacy Policy apply.
Your Rights
You can at any time see what we hold about you, correct it, have it deleted, object to this processing or restrict it. The quickest way is the link in the notice we send you, or the "remove" option on your profile page: both work with one click and without an account. You can also contact us through the Feedback. We answer within 30 days.
You may also lodge a complaint with your local data-protection authority or with the Polish authority, Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, as our controller is established in Poland.
Who We Share It With
Our hosting provider in the European Union (Hetzner Online GmbH, Germany), our e-mail delivery providers (Google Workspace for notices to professionals; Sinch Mailgun, EU region, for account e-mails) and our DNS and security provider (Cloudflare). They act on our instructions under data-processing agreements. Where a provider may process data outside the European Economic Area, transfers are covered by the European Commission's standard contractual clauses or an adequacy decision.
